Transaction ID (Order Fulfillment ID)

• This is a unique identifier that represents a transaction.
• This is a system generated field when a transaction is initially recorded.

Workflow Type

• DEFAULT is the default value on add mode.
• This is a required field and used to determine the business process of the transaction, whether it requires approval or not.

Customer

• Customer is a person or group who purchased company’s goods or services.
• In Britana, it is a blue hyperlink that represents customer name which allows users to easily navigate to the Customer Page if he has access to view customer Information. This is inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) upon importing and cannot be modified.

Contact Person

• This field is appointed by the customer to be contacted concerning the delivery of the products or services purchased.
• This is inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) and cannot be modified.

Customer P.O. No.

• This is an optional field sent by the customer as a reference of their order. User cannot modify the value of this field as this is inherited from the reference ID, either Sales Order or Intercompany Sales Order.

D.R. External Ref No.

• This is the Delivery Receipt Pad Number issued to Customer.
• This field is still editable even in posted status.

Salesperson

• A company representative who is responsible for the sale of merchandise.
• In Britana, this is a blue hyperlink that represents name of the salesperson which allows users to easily navigate to the Employee Page if he has access to view employee Information. This is inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) upon importing.

Billing Address

• This refers to a specific location to which a seller / service provider sends the invoice or bill for the products or services rendered.
• This is a required field with a maximum length of 1000 characters and inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) during the import process. User can still modify this field in the event of any alterations to the information.

Shipping / Delivery Address

• This refers to the specific location provided by the customer where a product / service should be delivered.
• This is a required field with a maximum length of 1000 characters and inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) during the import process. User can still modify this field in the event of any alterations to the information.

Shipping / Delivery Instructions

• This is an optional field with a maximum length of 1000 characters and inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) during the import process which contains detailed information about the shipment and logistics instructions. User can still modify this field in the event of any alterations to the information.

Mode of Shipment

• This field specifies how the product will be transported or how shipment is being loaded.
• This is a required field and inherited from the reference ID (Sales Order/Intercompany Sales Order/Sample Issuance) during the import process. User cannot modify this field.

Warehouse

• This refers to a location or place where products / goods will be obtained or withdrawn.
• This is a required field and inherited from the reference ID, either Sales Order or Intercompany Sales Order, during the import process. User can still modify this field in the event of any alterations to the information.
• User can use magnifying glass to search for existing warehouse. Warehouse record must exist in Warehouse Page prior creating order fulfillment.

• If the user knows already the warehouse code, they can input it on the field and press the “Enter” key. If a blue hyperlink appears next to the magnifying glass icon, it indicates that the entered warehouse code is valid.

• The blue hyperlink next to the magnifying glass is the warehouse name which allows users to easily navigate to the Warehouse Page if he has access to view warehouse Information.

Document Date

• This is a required field which pertains to the date of the data entry.
• This is defaulted to current date when sales order has been imported, but the user can still modify the date if needed.

Posting Date

• This is a required field which pertains to the date when the user posts the transaction.
• This is defaulted to current date when sales order has been imported.

Sales Order

• This pertains to the specific sales order transaction ID of the customer.
• This is inherited when sales order has been imported.
• If this is used as a reference, Intercompany Sales Order and Sample Issuance fields are hidden.

Intercompany Sales Order

• This pertains to the specific sales order transaction ID of the customer.
• This is inherited when intercompany sales order has been imported.
• If used as a reference, Intercompany Sales Order and Sample Issuance fields are hidden.

Sample Issuance

• This pertains to the specific sample issuance transaction ID of the customer.
• This is inherited when sample issuance has been imported.
• If this is used as a reference, Intercompany Sales Order and Sales Order fields are hidden.

Remarks

• This field is used externally to provide additional information which would be helpful during the processing of the transaction.
• This is an optional field which is visible in the printed document.

Notes

• This field is used internally to provide additional information which would be helpful during the processing of the transaction.
• This is an optional field with a maximum length of 1000 characters.

Status

• This is a system generated field based on the selected workflow which indicates the specific phase / process of the transaction.

Delete (-) Button

• This button allows the user to remove / delete a specific row from the item table.
• When a row is deleted, that product is no longer included for fulfillment.

Warehouse Button

• This button allows the user to display the Storage Location Details table enabling users to enter the required information for withdrawing the item. It also serves as an indicator to determine whether the customer has acquired a good or a service. If a service is provided, this icon will be hidden as item withdrawal is not required.
• Fulfilled Quantity should be filled in first to display the Storage Location Details table.

Drill Down Button

• The Drill Down Button is used to hide / show the components of a KIT.
• It appears only if the product is a KIT. Otherwise, this button will not be shown.

• This is used to verify whether the storage location details table has been entirely populated or not. A checked box indicates that all fields in the storage location table have been filled out.

Sequence Number

• This is a primary key used to sort the products in ascending order.
• This is inherited from Sales Order and cannot be edited.

Product

• This refers to the specific product or service purchased by the customer. If it's a physical product, it can be withdrawn from the warehouse or storage location. If not, the warehouse icon will be hidden, as withdrawal isn't required.
• This is inherited from the Sales Order during import process and cannot be modified by the user.
• The blue hyperlink next to the magnifying glass displays a concatenation of the brand name, catalog number, product description, and product code, allowing users to easily navigate to the Product Page if they have access to view product information.

Sales UOM (Unit of Measurement)

• This field pertains to the sales unit of measurement of the product purchased by the customer / client.
• This is inherited from Sales Order and cannot be modified by the user.
• The blue hyperlink represents the sales UOM description, enabling users to easily navigate to the Sales UOM Page if they have access to view product information.

Remaining Quantity

• This pertains to the remaining quantity of goods or services that need to be completed.

Fulfilled Quantity

• If the product is a physical entity, this field indicates the actual number of products to be withdrawn from inventory. Alternatively, it reflects the quantity of services rendered by the vendor to the client.
• This is a required and editable field that allows user to adjust the quantity to be fulfilled, provided it does not exceed the remaining quantity.

Remarks

• This field is used to provide additional information related to the specific product which would be helpful during the processing of the transaction.
• This field appears in the printed document. It is optional and has a maximum length of 1000 characters and is included in the Britana printout.

Batch / Serial No.

• This pertains to the serial number of products that that have been withdrawn from the inventory.

Bin Location

• This refers to the shelf, rack, or bin storage from which the product has been withdrawn from inventory.

Quantity

• This refers to the quantity of items withdrawn from inventory, along with their corresponding serial numbers and bin locations.

Base UOM

• This pertains to the unit of measurement of products that have been withdrawn from the inventory.

Remarks

• This is an optional field that provides additional information which would be helpful during the withdrawal processing of the transaction.
